File Archiving

Google Drive

Every file your team creates, shares, or stores in Drive is preserved in full, not just the latest version.

What Comma archives:

  • Version history — every edit, not just the final copy

  • Custodian attribution — who created it, who modified it

Shared drives are captured at the organization level, not per user. If a file lives in a shared drive, it’s in the archive regardless of which team member last touched it.

Meet Recording

Google Meet

Meet recordings flow through the same admin-consent connection as Gmail and Drive. No separate setup.

What Comma archives for every recorded meeting:

  • Full recording file
  • Participant list and session duration
  • Recording link

Scheduled and instant meetings, both included. Google Meet lets users start meetings on the fly, not just from calendar invites. Comma captures both, as long as your Google Workspace plan includes recording.

Recurring meetings. Recurring meetings share one Meet link, but Google generates a separate recording for each occurrence. Comma captures each session as its own record, so a weekly standup builds a sequential archive over time.

One platform boundary worth noting. Google Meet only allows the host to record. If your team joins a meeting hosted by an external organization, that recording belongs to the host (worth noting in your supervisory procedures). For every meeting your team hosts, scheduled or on the fly, Comma captures the full record.

FAQ about Google Workspace Compliance Archiving

Does Comma replace Google Vault? Can we keep Vault and use Comma?
For regulated firms with SEC Rule 17a-4 and FINRA Rule 4511 obligations, Comma replaces Google Vault as the books-and-records archive. Vault is an internal retention tool built for litigation holds, not a regulatory-grade external WORM archive. That said, you can keep Vault in place if you choose. Comma operates independently of Vault configuration and captures a separate, immutable copy of every record into its own WORM archive. Any change to Vault retention or holds has no effect on the Comma archive.
Does Comma archive our Gmail?
Yes — every inbound, outbound, CC, BCC, and attachment from Gmail and Google Workspace mail is captured in full, the moment it is received.
What Google permissions does Comma request?
Comma requests only the Google API scopes needed for the access tier you choose: directory read, contact discovery, or full mail capture. We do not request the ability to send mail as users, modify or delete records, change domain configuration, or access user passwords or credentials. What Google Workspace edition do we need?
Comma works with any Google Workspace edition that allows OAuth admin consent (Business Starter and above). You do not need Google Vault or a higher-tier Workspace license to use Comma — Comma provides the regulatory-grade retention layer independently.
Are Google Drive files and Meet recordings included?
Yes. Google Workspace capture covers Gmail, Google Drive, Google Chat, and Meet recordings, all flowing through the same admin-consent connection into a single unified archive.
How quickly can we produce records for an SEC or FINRA exam?
Records are retrievable directly from the Comma platform within minutes. No support ticket, no Google API query to script. Cross-channel, including non-Google channels like WhatsApp and Signal, from the Comma platform.
Can we revoke Comma's access?
Access can be revoked from the Google Admin console. Existing records in the Comma archive are unaffected — but revocation stops future capture, which should be coordinated with your compliance team before disconnecting.
What happens to our records if we stop using Comma?
Before service ends, Comma provides a full export of your archived records. If you're moving to another archiving platform, we cooperate with migration to your successor system.
